Scope of personal data processing

1. Website hosting and log files

Each time our website is accessed, technically necessary data and information from the visiting computer are processed. These may include browser type and version, operating system, internet service provider, IP address, date and time of access, and the previously visited page.

The legal basis is Art. 6(1)(f) GDPR. Processing serves to deliver the website and ensure secure operation. These purposes also constitute our legitimate interest. These data are not evaluated for marketing purposes in this context.

Data are deleted once they are no longer necessary for the purpose for which they were collected, unless statutory retention obligations apply.

2. Contact form and email contact

Our website provides a contact form for electronic enquiries. When you submit an appointment request, your name, email address, optional phone number, enquiry and the time of submission are transmitted to us and stored.

Alternatively, you can contact us using the email address provided. In this case, personal data transmitted with the email are stored. The data are used solely to process your enquiry.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest is responding to your enquiry. If contact is aimed at entering into a contract, Art. 6(1)(b) GDPR provides an additional legal basis. Please do not send sensitive health data through the form or unencrypted email.

To protect against automated enquiries, a hashed identifier derived from the IP address is processed to limit request frequency. The original IP address is not stored in the enquiry record. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is preventing abuse.

Data are deleted once no longer necessary for the purpose for which they were collected, unless statutory retention obligations apply. For questions or deletion requests, please contact info@kopfzentrum-bielefeld.de.

3. Website functionality

The public clinic pages do not use analytics or marketing cookies. Google Analytics and newsletter sign-ups are not used on this website. Fonts are not loaded from Google Fonts.

4. Google Maps

Our homepage offers a Google Maps map. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. The map is embedded only after you explicitly agree by clicking “Load map”. Without this agreement, no connection to the Google map is established.

Once the map is loaded, your IP address and browser and device information may be transmitted to Google. Transfer to the USA is possible. The legal basis for embedding the map is your consent under Art. 6(1)(a) GDPR. You can stop the embed for subsequent page views by reloading the page; the map will remain disabled until you agree again. Data already transmitted are unaffected.

Opening an external directions link takes you away from our website to Google Maps. Further information is available in Google’s privacy policy.
